Cannot Edit or Delete an Expense (Locked Expenses)
If the Edit or Delete buttons for an expense are disabled, the expense is likely locked.
Locked expenses are protected from changes to help maintain accurate financial records.
Why Expenses Are Locked
Expenses can be locked once they have been recorded or finalised.
When an expense is locked:
- Edit is disabled
- Delete is disabled
- A padlock icon appears in the Actions column
This helps prevent accidental changes to important accounting records.
How to Unlock an Expense
- Go to My Business → Expenditure
- Locate the expense in the list
- Click the padlock icon in the Actions column
Once unlocked, the Edit and Delete buttons will become available.
Recurring Expense Templates
For Recurring Expense Templates, locking works slightly differently.
When a template is locked:
- Edit is disabled
- Delete is disabled
However, you can still:
- Pause or resume the template
- Use Generate Due Now
- Preview Next 5 scheduled expenses
This allows expenses to continue generating without accidentally changing the template configuration.
Role Permissions (RBAC)
Unlocking expenses may depend on your Role-Based Access Control (RBAC) policy.
If your user account does not have permission to manage expenses, you may not be able to unlock the record.
If this happens, contact your site administrator or business owner.
RBAC settings can be managed in:
My Business → Settings → Role Based Access Control
