🔐 Document Locking Behaviour

JiffyTrade protects document integrity using a structured locking system.

Enable automatic document locking?

Toggle: OFF / ON

When ON:

Documents are automatically locked at key lifecycle events, including:

• When a document is sent
• When a quote is converted into an invoice
• When a reminder email is sent
• When an invoice is marked as paid

This ensures:

• Sent documents cannot be edited retroactively
• Paid invoices cannot be altered
• Your financial history remains accurate

When OFF:

Documents will not auto-lock at these moments.

Manual locking can still be used.

🗑 Deletion Controls

Allow permanent deletion of documents?

Toggle: OFF / ON

When OFF:

• Documents can be moved to Trash.
• Only authorised users (based on RBAC policy) may permanently delete.

When ON:

• Permanent deletion becomes available to users with appropriate capability.

⚠ Best Practice:
For most businesses, permanent deletion should be restricted to Plugin Super Administrators only.

🔄 Trash Behaviour

Documents moved to Trash:

• Remain recoverable
• Preserve the audit trail
• Are not permanently removed until explicitly deleted

This protects against accidental loss of records.

🧠 Recommended Configuration

For maximum protection:

• Enable automatic document locking
• Restrict permanent deletion to Plugin Super Administrators
• Allow staff to create and edit documents
• Allow staff to move documents to Trash
• Restrict permanent deletion capability

This ensures:

• Paper trail cannot be lost
• Staff errors do not destroy records
• Audit compliance is preserved

Disabling locking or enabling unrestricted permanent deletion can compromise:
