Creating a Quote

Quotes are created and edited inside the Document Designer.

Navigate to:

My Business → Document Designer

Select:

Type: Quote

Quotes can be created directly without first creating an Estimate.

If you prefer, you can also generate a Quote by converting an existing Estimate. This allows you to provide an approximate price first, then confirm the final cost once details are agreed.


Converting an Estimate into a Quote

If you have already created an Estimate, you do not need to recreate the document to produce a quote.

From the Document History page, simply click Convert to Quote on the estimate you wish to use. JiffyTrade will automatically copy all customer details, items, and totals into a new quote.

This is the fastest way to confirm pricing once the scope of work has been agreed with the customer.


🔢 Quote Reference (REF #)

The REF # is:

  • Automatically generated
  • Always unique
  • Not manually editable

Reference numbers are created based on your internal numbering system and cannot be overridden.

This ensures:

  • No duplicates
  • Proper audit trail
  • Sequential tracking

📅 Document Date

The DATE field can be manually changed.

By default:

  • It uses today’s date.

You may adjust this if required.

Note: Only Invoices have a Due Date field. Quotes do not.


👤 TO: Customer Details


Quick-Select Existing Customer

At the top of the TO section:

Quick-Select Existing Customer

This dropdown allows you to:

  • Select an existing saved customer
  • Automatically pre-populate all customer fields

This includes:

  • Client Name
  • Company Name (Optional)
  • Address
  • Email Address
  • Phone Number
  • TAX ID
  • TAX Exempt status

⚠ Important Behaviour (Very Important)

If you:

  1. Select an existing customer
  2. Then manually edit their details

When you click Save, the plugin will:

👉 Update that customer’s record in the database with the new details.

This is intentional behaviour to keep customer records current.


How to Avoid Updating a Saved Customer

If you want to:

  • Use a customer as a template
  • Make one-off changes
  • Avoid overwriting their saved record

You must:

Set Quick-Select Existing Customer back to blank/default before saving.


🏢 FROM: Business Details

The FROM section pulls from:

My Business → Settings → Business Settings

However:

If you manually edit Business Details inside the document:

When saving, the plugin will:

👉 Update your Business Settings in the database.


Business Detail Sync Warnings

If document business details do not match your saved Business Settings, you will see a warning prompt:

Business details don’t match your Settings!
Saving this document will update your business details in the database with the details below.

You can also choose:

Re-sync with current Business Settings

This restores the saved version.


🔄 Customer Detail Sync Warnings

If customer details don’t match the saved record, you will see:

Customer details don’t match the saved record!
Saving this document will update the selected customer in the database with the details below.

You can choose:

Re-sync current customer data

This restores the saved version.


📦 Line Items

Each line includes:

  • Description
  • Qty
  • Est. Price
  • TAX (%)
  • TAX (£)
  • Est. Total (+ TAX)

Totals are calculated automatically.

Displayed below the table:

  • Subtotal (EXCL. TAX)
  • Total TAX
  • EST. TOTAL (INC. TAX)

📝 Notes / Message to Recipient

This field:

  • Defaults to the value set in Document Settings
  • Can be manually edited per document

Checkbox:

Use Default Message

Restores the default note.


💳 Payment Terms

Populated from Document Settings.

Editable per document.

Checkbox:

Use Default Payment Terms

Restores default terms.


💾 Saving a Quote

Click:

GENERATE PRINT-READY PDF

After saving, a modal appears.


📄 Post-Save Modal (Document Preview)

After saving, you will see:

  • PDF Preview (left)
  • Send Document panel (right)

Options include:

  • Edit Recipient Email Address
  • Send a copy to my business email
  • Attach Terms of Service (PDF)
  • Email to Client
  • Download PDF
  • Return to Edit

🔐 Locking Behaviour

Quotes may be:

  • Manually locked
  • Automatically locked when:
    • Sent
    • Converted to Invoice

If locking is enabled in:

My Business → Settings → Plugin Config

Locked quotes cannot be edited unless unlocked by authorised users.


🧠 Important: Behaviour Applies to Invoices Too

All of the above behaviour also applies to:

  • Invoices

The only major differences:

  • Invoices include Due Date
  • Invoices can be marked as Paid
  • Invoices trigger additional auto-lock conditions

Letters behave slightly differently.
