Uploading External Documents
External Documents allow you to securely store important files related to your work, customers, or projects.
These files are stored privately inside JiffyTrade™ and are not publicly accessible through the WordPress Media Library.
When to Upload an External Document
You may want to upload an external document when you need to store paperwork such as:
- Compliance or safety certificates
- Insurance policies
- Guarantees or warranties
- Inspection reports
- Customer-issued documentation
- Third-party invoices
- Product documentation
These files can be linked to customers or documents so everything related to a job stays organised.
Uploading a Document
To upload a document:
- Go to My Business → External Documents
- Click Add Document
- Upload the file you want to store
- Enter a title or description
- Choose a category (optional)
- Assign the document to a customer or document (optional)
- Click Save
Once saved, the file will appear in your External Documents list.
Supported File Types
You can upload most common document formats including:
- Images (JPG / PNG)
- Word documents
- Other standard file formats
If your server allows the file type, it can usually be stored.
Downloading Files
Any uploaded document can be downloaded instantly.
Simply click the Download button next to the document in the list.
Files are served securely from your private storage location.
Organising Documents with Categories
Categories allow you to group documents into logical types.
For example:
- Certificates
- Insurance
- Guarantees
- Compliance
- Reports
- Other
Using categories helps you filter and locate documents quickly when your archive grows.
Locking Documents
Documents can be locked to prevent accidental deletion or modification.
This is useful for important records such as:
- Insurance policies
- Official certificates
- Completed compliance documentation
Locked documents must be unlocked before they can be edited or removed.
Secure Storage
External documents are stored inside a secure private folder, separate from the WordPress Media Library.
This means:
- Files cannot be accessed directly via public URLs
- Files are not indexed or exposed publicly
- Documents remain private to your business records
